By Florence Mukunya,

“My name is Catherine Riungu,  I recently cleared campus and I am interested in working as a Data Entry Clerk but I am not sure of the required skills for this type of job. I have heard many opinions from friends but I would like a professional take on a brief explanation on the job and the necessary skills required?” says Ms. Riungu via email

Speaking to Sheila Nyamusi, a Recruitment Officer at Flexi Personnel, she describes a Data Entry Clerk as an employee who enters or updates data into a computer system database, often from written or typed documents.

She further advises on the skills required by a person looking to work as a Data Entry Clerk.

1. You have to be computer literate
“The job involves working with a computer to input data so it’s important for the candidate to have basic computer knowledge on how different computer software’s work,” says Ms Nyamusi

Ms Nyamusi lists softwares such as word processors, spreadsheets, database, and other related record management software as among the ones a Data Entry Clerk should be familiar with.

2.Your typing skills should be top notch
“There is always a high volume of data to be put in the database and it needs accuracy when typing,” Ms Nyamusi says
She also adds that, “The most important skill in any data entry job is accurate typing skills; it’s important to be able to touch type, and this requires typing accurately without looking at the keyboard.”

3. You mush have fast typing speed
“In addition to being able to type accurately, you also need to have a significant typing speed. Typing at least 30 words per minute is expected by most data entry employers,” advises Ms Nyamusi
She also keen to state that the faster you can accurately enter data, the more projects you can take on and the more money you can make.

4. Good data entry clerks have reading skills
Ms. Nyamusi notes that data entry clerks must have advanced reading skills and the ability to decipher personal handwriting and typed documents.

“Most of the data handled by clerks comes in formats such as typed or hand written and it’s important that a clerk is able to read such documents so as to translate the same in the projects given,” she affirms.

5. You must be a person who pays attention to details
“As it is with most job requirements, attention to details is also a skill required for this job. It is one that requires thoroughness, checking that there are no spelling mistakes and grammatical errors before finalizing the project assigned,” Ms. Nyamusi explains

6. Must have good written communication skills.
Finally, Ms. Nyamusi says that, a Data Entry Clerk should be able to communicate effectively in writing for the needs of the client.

For those looking to join a career as Data Entry Clerks it’s important to note that the job needs a lot of practice in typing since it is a job that demands a very high typing speed and accuracy.
