When it comes to event management, very few rules are set in stone. Because every event is different, and each one requires a unique approach. To be a great event planner, then, you need to be as flexible as you are organized. This flexibility is what lets you adapt, learn, and change to make each event better.
Waridi is an event manager in a leading event management company in Kenya. Over years the company has been successful and resilient in its planning events. However, recently their planning operations are running slow and most of their events are poorly managed.
She is worried that if this problem persists they will lose their clients or even their jobs. Waridi being my friend I had to advise her on how to enhance their event management skills.
Here are insightful tips on improving event management skills that I shared with her.
1. Set Clear Objectives
Every event starts with determining the goals.
What are the primary purposes of the event? Are you trying to raise funds? Are you creating brand awareness?
Knowing the objectives helps you define your target audience, decide on the venues, and seek vendors.
“For a successful event, learn to visualize the event. Even the minute details make a huge difference during planning. However, with a clear vision, you can create a fantastic event”, I told Waridi.
2. Build A Strong Team
Those people that you work with will either build you up or bring you down. Therefore, you need an active group of people who have the same passion for event planning.
Waridi admitted that she had been having issues with her colleagues and juniors hindering the smooth flow of her work schedule.
Spend time communicating designs to manufacturers for your company events and brainstorming ideas on what to do to improve the business. Also, after every event take time to assess everyone’s contribution to its success or failure.
Identify areas that need improvement and work on them. Effective communication ensures you all stay on the same page and complement each other.
3. Start Planning Now
Begin planning as soon as you possibly can. If your event is a large event it is important to begin planning it four to six months in advance utilizing vendors’ early-bird specials. Smaller events need at least one month to plan.
To keep the final run-up to the event flowing smoothly, try to ensure that all vendor contracts are completed a few weeks before the event. This will save you time, money, and headache down the road.
I remember a wedding I attended early this year. It was supposed to begin at ten o’clock but event planners were still setting up their tools, tents, etc. This ended up wasting a lot of time and the guests got bored.
4. Adapt To The Event Technology
In this techno-era, you must automate all event tasks in terms of registrations, attendee management, promotions, check-ins, and other major tasks. This way, you can reduce the burdensome paperwork and manage your administrative tasks easily with less effort. Also, this will help you get more time to focus on creating an awesome event experience for attendees.
5. Enroll in An Event Management Training
Events management training equips you with the knowledge required in planning, managing budgets, and scheduling to create the best possible events. The training is important in achieving the desired exposure and brand awareness.
It also helps to attract more prospects and clients and improve brand positioning through professional guidance. Event management training strives to ensure creative solutions to drive the highest level of satisfaction from the guests.
