Job Purpose:
The Sourcing Officer will be responsible for sourcing materials, products, and services in line with company requirements. This role involves identifying reliable suppliers, negotiating contracts, ensuring the timely delivery of quality products, and maintaining cost-effectiveness while adhering to company policies and sustainability goals.

Responsibilities:
Principal Accountabilities/Key result areas:

  1. Supplier Identification and Selection:
    o Identify potential suppliers and evaluate their capabilities, quality standards, reliability, and cost competitiveness.
    o Maintain and develop supplier relationships to ensure continuity of supply and favorable terms.
    o Ensure suppliers meet regulatory, ethical, and sustainability standards in line with company policies.
  2. Procurement and Sourcing Strategy:
    o Collaborate with internal stakeholders (e.g., product development, production, logistics) to determine material and service requirements.
    o Develop and execute sourcing strategies for the efficient procurement of raw materials, packaging, and other supplies.
    o Prepare and issue Requests for Proposals (RFPs), tenders, and purchase orders as needed.
  3. Negotiation and Contract Management:
    o Negotiate contracts, pricing, terms, and conditions with suppliers to ensure optimal agreements.
    o Maintain supplier performance and ensure compliance with contractual terms and agreed timelines.
    o Work closely with the legal department to draft and review contracts.
  4. Supply Chain and Inventory Management:
    o Ensure consistent and timely delivery of materials to meet production and operational needs.
    o Monitor inventory levels and coordinate with logistics teams to minimize stockouts or overstock situations.
    o Address any supply chain disruptions and implement corrective actions.
  5. Cost Management and Budgeting:
    o Conduct market research to identify cost-saving opportunities and strategies.
    o Track and report on procurement spend and ensure sourcing activities stay within budget.
    o Work with finance teams to forecast and control sourcing-related costs.
  6. Quality Control and Compliance:
    o Ensure all procured products meet the company’s quality standards and specifications.
    o Monitor supplier performance, conduct audits, and resolve any quality issues.
    o Ensure compliance with regulatory standards and sustainability initiatives (e.g., fair trade, environmental considerations).
  7. Market Analysis and Trends:
    o Stay up-to-date with market trends, new suppliers, and potential risks in the supply chain.
    o Provide strategic insights into emerging trends and technologies that could affect sourcing decisions.
  8. Reporting and Documentation:
    o Maintain accurate records of contracts, communications, and sourcing activities.
    o Provide regular updates and reports to senior management on sourcing performance, risks, and opportunities.

Working Conditions:

  • Full-time role, with standard working hours.
  • May involve occasional travel to supplier sites or company facilities.
