Job Purpose

Ensure the accurate and timely processing/ reconciliation of financial transactions for the region in the accounting system as per EK’s financial procedures and in adherence with local legislation.

Job Outline:

 Accounts Payable:

  • Manage and supervise all aspects of the payable accounts function at the station and for other regional countries if relevant, ensuring that the Company’s books are updated daily and that payments are processed accurately and within guidelines laid down by company procedures.
  •  Ensure invoices received from the region in the central AP mailbox are processed timely to accurately reflect EK’s liabilities to creditors.
  •  Ensure supplier contracts are valid and where they are nearing expiry, ensure that revised contracts are in place in good time. Take active measures to update contracts in the required systems.
  •  Proactively switch from paper invoices to EDI format with suppliers to streamline the process.
  •  Perform rate verification in DMS diligently and timely.
  •  Ensure that suppliers without contracts are reviewed and approved by HO accordingly.
  •  Take the lead in ensuring that suppliers are paid on time and ideally by EFT.
  •  Review various AP reports to ensure that errors are corrected timely to facilitate a smoother month-end process.
  •  Respond to supplier queries efficiently.

 Accounts Receivable:

  • Manage and supervise all dedicated ongoing Finance receivable activities for the Passenger and Cargo sales business to ensure all receivables are correctly accounted for promptly and in compliance with local regulations.
  •  Ensure receipts are processed timely for the entire region and allocated accurately to customer invoices.
  •  Ensure receipts are banked within specified time limits or as per agreement with the cash collection provider.
  •  Reconcile BSP/ credit card party accounts and highlight short settlements immediately to the line manager.
  •  Review bank reconciliations daily and account for transactions in the AR/ GL module as appropriate immediately.
  •  Closely monitor undercollections and work efficiently with Commercial to ensure action is taken timely.
  •  Ensure outstanding debt from credit parties is collected timely as per Group Policy.

 General Ledger:

  •  Process journals accurately and promptly so that the monthly timetable is met.
  •  Prepare data to conduct reconciliations for appropriate nominals.
  •  Prepare standard reports for monthly file which is reviewed by the Internal Audit and OF&RM Finance Review Team.
  •  Prepare reports for local tax filing.
  •  Prepare data for monthly KPI submission.
  •  Prepare bank reconciliations for review.
  •  Assist with the repatriation process to ensure that surplus funds are remitted to HO and working capital is maintained as per Group Policy.
  •  Assist the Financial Controller where necessary in ad hoc projects.

 Payroll:

  • To compile and process all payroll elements including basic salaries, allowances, overtime, shift pay, pension contributions, employer and employee social security contributions, and relevant taxation in compliance with local regulations to all staff on payroll within required time limits. Ensure the relevant payments are submitted to local authorities promptly and all payments are in line with individual terms and conditions of employment.
  •  Compile and provide all payroll information, including the reconciliation of tax social security, and pension every month and send payments to the appropriate parties so that this can be computed by the specified time frame.
  •  Prepare payroll data entry into Finance software so that all relevant reports are completed promptly.
  •  Seek clarification with external legal advisors on taxation, payroll, or any other upcoming issues to ensure that all year-end returns are submitted on a timely basis.
  •  Scrutinise all staff expenses, process salary advances, medical expenses, and any other staff loans to ensure correct payment or recovery of same through payroll, and reconcile the related ledger account.
  •  Maintain and reconcile Petty Cash accounts where appropriate, and analyze and reimburse Petty Cash returns from other stations from within the country as appropriate.
  •  Ensure charges from personal telephone calls are recovered from staff every month and mobile telephone bills are paid in line with the company guidelines.
  •  Reconcile the pension account and assist with various pension and other queries from staff, department heads, and various external parties.
  •  Assist FAM and undertake various administrative duties together with other relevant finance personnel as necessary.

Qualifications & Experience

  • Degree (Recognised professional accounting qualification to the standard of Chartered Accountant, CPA or similar preferred) Experience:  
  • Min 3 years of professional experience, of which 2 years must be in a supervisory capacity

Knowledge/skills:

  •  Knowledge of rules and procedures under the local laws to take care of statutory requirements as necessary
  •  Ability to function independently within an established framework and to be practical and innovative  
  • Proven experience in both supervising a finance function and in coaching and developing staff as well as experience in working in a large multinational and dealing with stakeholders from different countries.  
  • Proven ability to organize a busy work schedule, work under pressure, and ensure adherence to deadlines.  
  • Knowledge of local payroll, taxation, statutory, and compliance requirements.  
  • Proficient in the use of MS Office, in particular spreadsheets and ERP systems.  
  • Comprehensive knowledge of airline accounting procedures and familiarity with IATA regulations regarding Passenger/Cargo/Excess Baggage sales is advantageous.
  • Other languages besides English: As per country requirements.
