Location: NAIROBI- HEAD OFFICE- Kileleshwa

Reporting to: DIRECTOR

Availability: IMMEDIATE (To commence in the Month of February)

Remuneration: Ksh.28,000/- to 35,000/-

Job Summary

We are looking for an Administrative Secretary to work at our Nairobi Head Office in Kileleshwa. They will be tasked with offering a range of services that are confidential and revolve around office administration and clerical support roles.

Primary Duties and responsibilities

  • Office Administration
  • Oversee the reception area, attend to incoming guests and direct them accordingly.
  • Receive incoming calls, answer queries and/ or channel them to respective offices.
  • Direct and maintain the cleanliness of all offices, meeting rooms and common areas.
  • Handle the Directors diary; schedule appointments, provide reminders, coordinate meetings (virtual & face to face).
  • Make travel arrangements as advised by the Directors.
  • Manage office budgets and monitor office supplies.
  • Implement and maintain office procedures/ administrative systems
  • Prepare and circulate reports and correspondence to relevant personnel in a timely manner.
  • Handle all information received with the utmost confidentiality required.
  • Sort and file all related documentation as per Company procedure.
  • Scan and file documents as directed.
  • Operate a variety of office equipment such as scanners, printers, computers and centralized switchboard system.
  • Coordinate the courier services and distribution of parcels to respective offices/ staffs.
  • Any other roles as may be assigned by the Director.

Qualifications & Requirements

  • A minimum of a Diploma in Business /Office administration
  • Proven experience as an Administrative Secretary (Minimum of 1year)
  • Expert level proficiency in IT skills specifically MS Office
  • Must be able to type a minimum of 50 words per minute accurately.
  • Pays keen attention to detail.
  • Must be flexible to handle multiple priorities.
  • Excellent communication and interpersonal skills, both written & verbal.
  • Extremely well organized
  • Exceptional time management and multi-tasking skills.
  • Assertive, self-driven individual, able to work with minimum supervision
  • Strong leadership skills
  • Must possess high integrity and business ethics.
