Job Summary

Our client is seeking a proficient Personal assistant to join their team. The ideal candidate will be responsible for providing administrative and operational support to the CEO and other senior management team members, as well as assisting in new business development efforts.

Duties and Responsibilities:

  • Manage CEO and Financial Director’s calendars, appointments, and travel arrangements.
  • Organize monthly Board papers for CEO’s review and file them for future reference.
  • Handle medical claims, provide personal support, and manage sensitive financial information with discretion.
  • Prepare and summarize the CEO’s business expenses, providing a concise report for the Finance Department for posting.
  • Coordinate between the CEO’s office and Finance Directors, assisting with financial projects and initiatives.
  • Assist in creating Standard Operating Procedures (SOPs) for the Finance Department.
  • Formulate legal compliance checklists, prepare reports, and liaise with external stakeholders.
  • Monitor the company’s compliance with statutory obligations and facilitate internal compliance training.
  • Provide weekly reports on regulatory publications.
  • Act as a reliever for HR, P.A to the director, legal administrator, and front office executive during their leaves of absence.
  • Draft and proofread documents for company executives.
  • Maintain organized filing systems and coordinate with departments for efficient data management.
  • Assist HR in developing Key Performance Indicators (KPIs) and onboarding new staff.
  • Develop monthly marketing reports and assess program success.
  • Analyze business processes for optimization and efficiency.
  • Coordinate with different departments to gather and analyze data, develop insights, and present actionable recommendations.

Requirements:

  • Bachelor’s degree in Business Management or other related fields.
  • KCSE minimum grade B
  • IT background will be an added advantage.
  • 1-2 years of relevant experience required.
  • Excellent written, verbal communication, and interpersonal skills.
  • Demonstrated strong leadership skills.
  • Positive attitude and willingness to learn.
  • Excellent time management skills.
  • A person of high integrity.
