WIOCC Procurement Specialist Job

Job Objective

Manage procurement and logistics processes efficiently and effectively, build strong relations with suppliers and internal stakeholders and support organisation goals and objectives.

Key Duties & Responsibilities:

  • Ensure effective implementation of procurement policies and plans to acquire high-quality materials, goods and services
  • Collaborate with relevant departments to determine the company’s procurement needs and specifications
  • Work closely with the projects team to forecast procurement requirements
  • Identify potential suppliers and support in the prequalification and onboarding processes
  • Conduct supplier benchmarking and market surveys to ensure we have an updated supplier database
  • Support in the bidding process, including the preparation of Request for Quotation (RFQ), Request for Proposal (RFP) incorporating terms of reference (TOR) etc
  • Support in technical and financial analysis of procurement deals
  • Negotiate purchase terms and conditions
  • Collaborate with cross-functional teams to ensure contractual obligations align with the company objectives
  • Evaluate, negotiate and maintain contracts with vendors
  • Prepare and issue purchase orders and agreements and monitor NetSuite purchase order approvals ensuring timely processing
  • Support in cost optimisation through liaison with cross functional departments
  • Analyse industry and demand trends and support senior management with the development and implementation of sourcing strategies
  • Support in tracking inventory levels, replenishment of goods as needed and ensuring accurate records in NetSuite
  • Generate and manage daily, monthly, and quarterly procurement reports
  • Analyse, evaluate and monitor supplier performance to drive continuous improvement
  • Support in logistics operations including shipping, local customs clearance and delivery
  • Ensure compliance with all relevant laws and regulations governing procurement activities
  • Develop efficient procurement solutions to enhance operational effectiveness
  • Build and maintain positive relationships with vendors to secure favorable pricing on products

Minimum Qualifications:

  • Bachelor’s degree in Purchasing and Supplies Management
  • Registered member of a Procurement Professional Body
  • IT proficient

Experience & Skills:

  • Minimum of five (5) years’ work experience in purchasing and supplies management within a large organisation
  • Proven work experience as a Procurement Specialist or in a similar role
  • Global sourcing, in-depth understanding of procurement principles, best practices, and contract administration
  • Familiarity with relevant legislative and regulatory requirements
  • Understanding of standard contractual terms and conditions to mitigate legal risk
  • Knowledge of International logistics and regulatory compliance is an added advantage
  • Good working knowledge of purchasing strategies
  • Strong analytical thinking and problem-solving skills
  • Must exhibit a flexible work attitude with the ability to work productively both in a team environment and independently to meet unexpected demands
  • Be client centric and resourceful in problem-solving
  • Possess strong interpersonal, communication, presentation and negotiation skills
  • Experience in the telecommunication industry is preferred
  • Proficient in ERP systems (NetSuite) is an added advantage
