Marketing & School Admissions Administrative Assistant Job Mt. Kenya Academy

A prestigious day and boarding co-educational school which offers the Kenya National Curriculum and the British Curriculum is seeking to hire a Marketing & Admissions Administrative Assistant, who is required to take charge of the marketing strategy and organize all marketing activities in the school. In addition, liaise with parents and ensure the smooth transition of pupils into Mt Kenya Academy Schools. The post is responsible for entry of data, working collaboratively to meet parental expectations and the demands of daily School life. The Admissions Administrative Assistant will work closely with the Principal to ensure that annual pupil recruitment targets are met and all administrative tasks are undertaken with meticulous attention to detail, ensuring regulatory compliance. The School Marketing Secretary will be responsible for all matters relating to the Marketing, office and Admissions.

  1. Carry out Marketing Activities:
  • Implement the marketing strategy.
  • Monitoring all Marketing activities and liaising with the required staff.
  • Planning and coordinating all marketing activities as required.
  • Proper Leads management by following up on leads and sending reports and feedback.
  • Preparing marketing reports as required.
  • Monitoring all Marketing merchandise and re – ordering when needed.
  • Secretary to all Marketing meetings.
  • Assist in researching for Marketing venues and calling/making appointments/follow up.
  • Representation in Marketing Activations events. 
  • Manage the school’s social media accounts.
  1. Administrative management of admissions process:
  • To organize the logistics of prospective parent/pupil/agent visits to the school, liaising with all key stakeholders and to produce a weekly communications bulletin.
  • To coordinate the logistics of all Open Days within the schools for prospective pupils.
  • To coordinate the organization of prospective parents’ events and reception.
  • Regular liaison with key staff involved in the admissions process. 
  • To assist with end to end administration of individual pupil applications and report to the Principal regarding progress made with each prospective pupil. 
  • Coordinate interviews for applicants.
  1. To Maintain the School Admissions/Student database and filing systems, ensuring it is accurate and up to date at all times. 
  2. Manage phone calls and walk-in clients or parents and pass on the information to appropriate persons and compose routine correspondence as advised.
  3. Read and respond or forward all email communication to appropriate offices.
  4. Schedule appointments for the Principal and other officers in consultation.
  5. Research, compile and prepare administrative and clerical reports, presentations and documents as assigned. 
  6. Serve as the receptionist and deal with all enquiries. 
  7. Photocopy Exams and other documents and maintain a log to track the same.
  8. Establish  and  maintain  effective  working  relationships  with  other  school  staff  members,  and     contribute to a general team well-being.
  9. Any other duties that may be assigned from time to time.
  • Minimum qualification: A recognized Diploma/ Degree in Marketing, Communications, Business Administration or a related field.
  • A minimum of 3 – 5 years’ experience working in a busy office.
  • Must have excellent computer skills in operating systems, office suites, presentation software, communication and collaboration tools etc. 
  • Experience of working in a School environment and Marketing will be an added advantage.
  • Strong digital marketing experience, including social media management, content creation, and familiarity with digital advertising platforms.
  • Should be good at multitasking, communication skills as well as have excellent organizational and time management skills.
  • Certificate of good conduct.
