How to Email A Cover Letter Plus Sample Cover Letter Application

The most important part of sending a cover letter is to follow the employer’s instructions.

If the job posting says to include your cover letter and CV as an attachment, attach Microsoft Word or Adobe PDF files to your email message. Save the files with your name, so they don’t get mixed up with other applicant’s materials i.e. JaneKamauodingaCV.doc, janekamauodingacoverletter.doc

So, how do you send a cover letter?

My advice is for you to copy paste the content of the cover letter to the email and then attach in ms word. The reason why you should copy paste on the body of the email is catch the interest of the recruiter when they open email.

Here is an example of an email cover letter sent with a CV attachment.

Subject Line of Email Message: Communications Officer- Jane Kamau Odinga

Dear Recruiter/HR Manager (If you know their name, the better),

I read your job posting for a Communications officer with interest.

In my position as Communications officer for XYZ Company, I wrote articles for the company website, managed guest author submissions, and wrote and sent a weekly email newsletter to subscribers.

While Assistant Communications assistant for ABC Company, I researched, drafted and amended manuals, wrote press releases, and was responsible for office communications and correspondence.

I also have extensive experience writing on a freelance basis on women empowerment issues, which, I believe, would be an ideal match for this position. Articles are available for your review at www.careerpointkenya.co.ke (give examples where they access your writing)

  • Use an appropriate subject line for your email. First, review the position’s application instructions. Do they tell you what to put in the subject line? If not, use a simple and appropriate phrase like “Experienced Accounts Assistant. Manufacturing Company”.
  • Keep the body of your email short, unless the application instructions say otherwise. Ideally, type no more than 2 or 3 short paragraphs.
  • Remember to include a greeting and a closing (followed by your name) within your email.
  • Spell check! Proofread! (We really can’t emphasize enough HOW important this is. If you have one typo, some employers will immediately delete your email or throw away your CV
  • Review the application instructions. Do they tell you how to submit your CV and cover letter?
  • Contact the organization if you have specific questions.
