Unilever is the place where you can bring your purpose to life with the work that you do – creating a better business and a better world.  The Supply Chain Administrative Assistant plays a crucial role in supporting the efficient functioning of the supply chain department by providing administrative and organizational assistance to the Supply Chain Director and the leadership team. This position is instrumental in ensuring smooth operations and effective communication within the supply chain management teams. The primary purpose is to streamline administrative processes, enhance communication, and contribute to the overall effectiveness of the supply chain function.

Main Responsibilities

Administrative Support:

  • Manage the director’s calendar, schedule appointments, book meeting venues and coordinate meetings.
  • Prepare and distribute meeting agendas, minutes, and other relevant documentation.
  • Handle travel arrangements, including booking flights, hotels, and transportation.
  • Preparing annual leave schedule for the management team.
  • Manage suppliers, raising of POs, invoices & ensuring OTIF payment by collaborating with the Finance Team.

Communication and Coordination:

  • Serve as a liaison between the supply chain director, leadership team, and internal/external stakeholders.
  • Facilitate effective communication by responding to emails, phone calls, and inquiries promptly.
  • Coordinate with various departments to ensure seamless information flow within the supply chain teams.

Documentation and Reporting:

  • Assist in the preparation and maintenance of reports, and other documentation.
  • Manage and update databases related to inventory, suppliers, and other supply chain elements.

Project Assistance:

  • Support supply chain projects by organizing project-related meetings, tracking milestones, and maintaining project documentation.
  • Assist in research activities, data analysis, and the preparation of project proposals.

Team Support:

  • Provide administrative assistance to supply chain management teams as needed.
  • Assist in coordinating team activities, workshops, and training sessions.
  • Collaborate with team members to address administrative challenges and improve processes.

Experiences & Qualifications

  • At least 5 years of executive support experience, excelling in calendar management, meeting scheduling, and travel coordination.
  • Strong communication skills demonstrated through effective liaison between executives and stakeholders.
  • Familiarity with supply chain operations.
  • Tech-savvy with proficiency in Microsoft Office Tools, SAP etc.
  • Proven organizational abilities, adept at handling multiple tasks and collaborating within teams.
  • Proactive and adaptable approach to changing priorities, showcasing problem-solving skills and efficient time management.
